Minutes of Monthly Board Meeting
January 5, 2006

Attendees: President Donna Hooks, Vice President Bill Hughes, Secretary Marcia Lawson, and Treasurer June Terrell
Donna called the meeting to order at 7 p.m.
SECRETARY’S REPORT
The minutes of the December 8 Board Meeting were approved as read. Marcia is to forward a copy to Tom Marsh so that he can post on our website.
CHRISTMAS PARTY
We received a nice letter from Larry “Big Fish” Calhoun, thanking us for allowing him to deejay our Christmas party and saying he was looking forward to deejay-ing for us at the Boogie. He was very complementary of the hospitality he received from the Marriott. Marcia said she would forward a copy of his letter to the Erica Greene, Catering Sales Manager at the Marriott. We likewise have received a thank-you card from Erica; she hopes we will use their services again in 2006.
BOOGIE
Ticket Sales
Bill reported that we have sold approximately 190 tickets. Bill asked if we should consider an alternate plan in the event that we do not sell enough tickets. We agreed to discuss again at the next meeting, with the expectation that ticket sales will pick up significantly during the next month.
Extension of Registration Deadline
We agreed to extend the deadline for the lower registration fee thru the January re-up party.
Promotion
Donna encouraged any that could, to visit other clubs to promote our party. The Johnson City club meets on Monday nights; the Chattanooga club meets on Thursday nights. Other options are the clubs in Greeneville, Louisville, and Hickory. We discussed the possibility of sending comp tickets to some of the other clubs’ officers to encourage them to promote our party. Bill has also been pro-active by sending holiday greetings to some of our out-of-town guests. We will also send a supply of flyers to Mid-Winter for distribution via some of our club members.
JANUARY RE-UP PARTY/OPEN BUSINESS MEETING

Time: Open Business Meeting 6 to 7 p.m., dance to follow.
Membership Applications/Cards/Questionnaire: Donna has revised the membership applications. Bill has revised the Committee questionnaire and will e-mail a copy to Donna. The Board discussed whether or not to revise the amount paid for annual dues, especially as it relates to couples. It was agreed that no change will be made at this time.
Party Calendars: Bill and Donna have been in search of possible vendors for calendars but have found most to be too expensive ($495-$695). Donna will check with Kinkos and Office Max. June suggested working on this throughout the year and having it ready in time for gift-giving 2006.
Club Shirts: Bill reported that the “Port Authority” brand costs approximately $19 (which includes the club logo); “Threads” are about $29. Bill will ask Tom Marsh to bring or wear his to the party.
TREASURER’S REPORT
June reported that we have a bank balance of $2,597.71. Expenses for the Christmas party were $4906.20; income $1590.00. June will send a $50 Christmas gift to Mickey at the Holiday Inn and to John Rutherford.
The meeting adjourned at 8:30 p.m. The next Board meeting will be on Wednesday, February 1, at June’s at 6:30 p.m.
