Minutes of Monthly Board Meeting

January 10, 2007

 

Location:  Workplace of Janice Davis, IBEW, 1530 Hutchinson Avenue, Knoxville

 Board Members Present:  President Chuck Kryder, Secretary Marcia Lawson, and Treasurer Janice Davis

 Chuck called the meeting to order at 6:00 p.m. 

 SECRETARY’S REPORT

 The minutes from the December 4 monthly Board meeting and the December 18 called Board meeting were approved as submitted and will be forwarded to Tom Marsh for our website. 

 TREASURER’S REPORT

 Janice has four remaining SOS tickets, but they have been spoken for.  She will send a check to the Association for all that she has received from them (30).

 The Board agreed to send a check to our Sunday-night DJ, John Rutherford, for the whole month ($150), in lieu of a Christmas present.  (He worked the first two Sundays, but there were conflicts with the hotel on the remaining Sundays.)   

 Janice presented the Board with copies of  the Treasurer’s Reports. 

 RE-UP PARTY JANUARY 6

 The Board members present commented on the positive responses we got from the party attendees.  A total headcount of renewals and new members will be available soon.  Many thanks to all who brought food and to the several members who stayed to help clean up.   

 SMOKY MOUNTAIN BOOGIE

 Schedule of Events

Betty Ladwig has suggested that we consider adding a line dance workshop (“Sweat”) to our Schedule of Events.  The Board agreed to discuss further.

 Flyers

Chuck has flyers prepared to send to approximately 100 Shag clubs.  Tom Marsh has offered to contact previous party attendees via e-mail; he has a database of about 800 names.

 50/50

Marcia brought up for discussion the possibility of rolling over the money collected the first two nights and having one big drawing on Saturday night.  It has been her observation that, at other parties where this is done, the pot grows exponentially as the attendees see it growing.  The Board discussed the pros and cons of doing this.  We need to make it very clear to the attendees how we are going to handle it this year.  It will be noted accordingly on the Schedule of Events and the table placards. 

 If we don’t split the pot Thursday and Friday nights, the Board agreed we needed to have something else instead.  Marcia will ask Jean Brown to make two baskets to be given away as prizes.  In addition, Chuck will contact some of the other Shag clubs to see if we can get donated tickets to their parties.

 Marketing

Marcia spoke on behalf of Joe Glass, who has expressed the need for our club to market our party (or “brand” it) so that the attendees will remember it (with fondness, of course).  Everything we do (including decorations) should somehow reflect “Smoky the Bear,” Gatlinburg, or the Smoky Mountains.  Marcia will try to find some candy dishes for the tables with Smoky the Bear. 

 “Ask Me to Dance” Buttons

Pat Clark suggested we get “Ask Me To Dance” buttons.  Marcia has gotten pricing; the Board agreed to buy 500 at a cost of $275.  

 ASCS MANUAL

 Janice has requested a current Association manual, because we have not been able to locate the one we had.  In addition, there have probably been some revisions that may or may not have been incorporated into the manual over the years.  Cost $50.

 QUARTERLY BUSINESS MEETING

 The Board agreed to hold a quarterly business meeting on Wednesday, February 7, from 7 p.m. to 8:30 p.m. at the office of Janice Davis (IBEW union hall).  The Club will provide non-alcoholic beverages.

 

The meeting adjourned at 7:25 p.m.
