SMOKY MOUNTAIN SHAG CLUB
Minutes of Quarterly Membership Meeting
January 21, 2006
Dance Dimensions, 8373 Kingston Pike, Knoxville 37919
Donna called the meeting to order at 6:15 p.m.
NEWS FROM THE BEACH
Donna has attended ASCS meetings in North Myrtle Beach and has come back with much information:
Spring SOS
New Motel, The Evista – approximately two blocks north on Ocean Blvd, is now open. The upstairs (smoke-free) room at the Spanish Galleon was not made available to the ASCS for Mid-Winter and is questionable if it will be for spring SOS. The ASCS may consider negotiating with the Evista for use of their facilities during spring SOS.
Fall SOS
Fun Monday – Sea Cruz will be performing. We need volunteers to sell Fun Monday raffle tickets (100). As a club affiliated with the ASCS, we are required to sell these tickets. Our association dues are refunded to us ($50 minimum) if we do. Donna will make the ASCS club requirements available so that our club members will be aware of these.
SOS cards for 2006 are available; we can save $5 if we purchase them through our club. Beginning Mid-Winter 2007, our SOS cards from the previous year will no longer be honored at Mid-Winter, only those cards for the current year.
The first edition of the book, Shag, has been selling on e-Bay. There will be another printing, to be available by spring SOS, and the author will be there to autograph. Cost is expected to be about $60. There has been some consideration to doing a second edition if the volume of new information warrants.
Ducks is under new management.
SMOKY MOUNTAIN BOOGIE
Ticket Sales
We have sold 230-235 paid tickets to date. Bill Linam has calculated that our break-even point is about 360-370. We have a 30-day minimum-notice requirement in the event we should decide to cancel. Tom Marsh reported that 72 of our club members have purchased their tickets; current club membership is about 130. To date, we have had the greatest participation from Texas. We have received a few ticket requests from Michigan and Atlanta. Rich Kopels from the Atlanta Swing Club is DJ-ing for us; we hope he will get more of his people to support our party. Poor response from the Louisville club. Bill Hughes has tried to contact officers of the Chattanooga club but feels there are some internal issues which are hindering a better response from them.
Expenses
Anticipated expenses are approximately $15,000. Bill Vann suggested possibly eliminating one of the meals; no decision was made for this year but this may be considered for next year.
Committee Chairs
Hospitality – Karen Sparks
Registration – Tom Marsh
Floor – Dwight Robertson (set-up and tear-down)
50/50 – Marcia Lawson
Donna strongly encouraged members to sign up as soon as possible to work on at least one, preferably more, of these committees.
MISCELLANEOUS BUSINESS
Club Shirts
Cost approximately $30 with club logo by Threds. Threds is located at 10529 Lexington Drive, off Lovell Road (525-2830). They can do our club logo but require a minimum of four shirts at a time. They can also put our club logo on individual articles of clothing.
Bill has Membership Books which include contact info on club members.
Christmas Party 2006
Marcia reported that she has already been contacted by the downtown Hilton to try to get our business this year. Most people seemed to like the Marriott (where we had our party 2005), with one comment that they could have done a little better on the food (presentation and quantity) and perhaps we could negotiate with them for 2006 to “kick it up a notch.”
Club Calendars for 2007
This will show the dates of various shag events and photos of some of our club members “in action.” This will be a club fund-raiser. Dave Mitchell suggested that it include information about our club charity. Dave will chair this effort.
TREASURER’S REPORT
Expenses for the Christmas party were $4,906.20. Income from the party was $1,590. June reported that our current balance is $2,347.71.
The meeting adjourned at 6:45 p.m. Dancing followed.
Respectfully Submitted:
Marcia Lawson, Secretary
