Minutes of Monthly Board Meeting

Donna called the meeting to order at 6:35 p.m.
SECRETARY’S REPORT
The minutes of the February 2 Board Meeting were approved as submitted. Marcia is to forward a copy to Tom Marsh for our website.
MEMBERSHIP ROSTER AND APPLICATIONS
June has given all membership applications to Tom; he will update our website. June gave a copy of the current roster to Donna Hooks; she will make membership cards.
BOOGIE
Ticket Sales
Prior to the meeting, Bill reported to Donna that we have sold 325 tickets. June reported that our bank balance in the Boogie account stands at $15,140.15 as of February 27.
Committees
Marcia is to ask Bill to send out another e-mail to our members with the phone numbers of the committee chairs. There are still many slots that need to be filled.
Promotion
Donna has been talking with a radio station in North Carolina about some advertisements. In addition, the Charleston shag club has contacted Donna to ask if we could work out a reciprocal agreement about posting information on each others’ websites. There were no objections by the Board members present.
Marcia is to check with Bill regarding the status of distributing flyers to the Pigeon Forge/Gatlinburg Chambers of Commerce and to see if they will provide us with hand-out bags with literature about area events. These would be distributed at our registration table as people sign in.
New Business
Don Hughes, a member of the Mountain Empire Shag Club, has approached Donna about the possibility of their club joining with ours to host the Boogie going forward. June motioned that we consider this. It would still be held in the Pigeon Forge/Gatlinburg area and at the same time of year. Donna will ask Bill to survey the members via e-mail for their opinions. It was noted that Don is also a member of our club.
Marcia suggested that we try to reach a decision about this matter so that we can announce it at this year’s Boogie. The Board was in agreement that this could definitely be a positive move for our club and could provide a source of exciting news for early promotion of the 2007 Boogie.
At this point, the Board discussed hosting a quarterly business meeting and dance for the specific purpose of: (1) making a decision regarding the joint venture between the two clubs and (2) discussing with the members any last-minute Boogie details, including committee work assignments. The date chosen was April 1.
Regardless of what we decide about a joint party, the Board strongly believes that we need a full-time committee for the promotion and marketing of our Boogie. This will be explored further after this year’s Boogie.
DANCE LESSONS
Marcia offered to contact Church Street Methodist to see if use of their facilities might be an option for us.
TREASURER’S REPORT
June reported that we have a bank balance of $4,124.50 in our regular club account, as of February 1.
