Minutes of Quarterly Business Meeting

April 1, 2006

Location: Dance Dimensions, 8373 Kingston Pike, Knoxville

President Donna Hooks called the meeting to order. This meeting was scheduled especially for the purpose of last-minute preparation for the Smoky Mountain Boogie April 6-9, in Pigeon Forge.

Each of the committee chairs advised the membership of remaining staffing needs:

Tom Marsh – Registration

Has two open slots: 12-2 p.m. and 9-10 p.m. on Saturday.

Johnnie Vann – Greeters

Has a few slots yet to fill.

Karen Sparks – Hospitality

All slots filled.

Marcia Lawson – 50/50

Has two slots to fill. Marcia reported that Jean Brown, Janice Davis, and she are donating two gift baskets to be raffled off and encouraged members to be thinking ahead for next year, as she would like to have many more door prizes.

Bill Hughes – Boogie Chair

Bill had several issues to discuss:

Tips Received from Hospitality--In the past, some members who have worked the Hospitality Booth felt it was acceptable to keep the money received as tips. For clarification, Bill felt that that money belongs to the Club. No objections.

Dance Floor--Installation to begin 8 a.m. Thursday. All are welcome to help.

Ticket Sales--418 tickets sold to date, which includes at least 100 from our own club.

Planning for Next Year’s Boogie

For future Boogies, Bill Hughes expressed that we need to market our party more thru our own club members. It was agreed that we should have a follow-up meeting soon after this year’s party to put this in motion. Also, the new committee chairs need to be in place immediately as much of the activities are ongoing and require much preparation.

Chuck Kryder suggested we try to get corporate sponsors.

 

Location Options

Mills Auditorium (Gatlinburg) – Cost $2400/day. The Music Road facility (Pigeon Forge) is only available on Easter weekend (Easter 2007 is April 8) or the weekend before the start of spring SOS (which is April 20-29). Bill and Tom Marsh have looked at the Glenstone and Quality, but they found these facilities unsuitable. The River Terrace (Gatlinburg) is available the last weekend in March. They will give us a block of 212 rooms at $76/night, with overflow available at the Edgewater. Their fee is $500 for use of the ballroom, and they are available the same weekend for the next two years. Bill Hughes stated he had some concerns about the dance floor but thought we could make it work. Bill Linam made a motion to move to the River Terrace for 2007. By show of hands, majority agreed. Motion carried.

Miscellaneous

Sandra Barker suggested that we decide which direction we want our parties to go (Shag only or open to all dance styles). Bill Hughes said that as a moneymaker, we would do better if we open it up to all dancing. June Terrell commented that she thought it would be difficult to get enough Shaggers to come this far west. Donna asked for a show of hands. The majority voted to keep it as is (open to all dancing styles).

Bill Hughes and Karen Sparks announced that they will resign their respective positions after this year’s Boogie but will help in whatever capacity they can.

Bill Linam stated that he felt we need to have regular updates from the committee chairs, perhaps prior to each month’s dance. No vote was taken, but most of the membership appeared to be in agreement.

Bill Hughes said that he does not feel that comp rooms or tickets are in the best interest of the Club. In the past, some club officers and/or committee chairs have been extended this courtesy. No vote was taken, with the assumption that all members are willing to do whatever is best for the Club.

Bill Hughes closed by offering an apology for what he thought was a faux pas on his part. In years past, we have had Club-sponsored hospitality events at the Boogie, but not all members had been invited. He regrets if there were any hurt feelings and acknowledged that all Club members should have been invited.

Billy Kuhn encouraged everyone to take advantage of the free workshops.

The meeting was adjourned; dinner and dancing followed.
