Minutes of Quarterly Business Meeting

August 12, 2006

 

Location:  Dance Dimensions, 8373 Kingston Pike, Knoxville

 

Board Members Present:  President Donna Hooks, Secretary Marcia Lawson, Treasurer June Terrell, and Past President Sandra Barker 

 

 SECRETARY’S REPORT

Copies of the minutes of the July 19 Board Meeting were distributed to attendees present.  Marcia will forward a copy to Tom Marsh for our website, after making one correction (the proceeds from the Bo Bryan book will be donated to the endowment fund for the furtherance of the Shag dance through the South Carolina school system rather than to the ACSC itself).

  

TREASURER’S REPORT

June reported that we have a bank balance of $5,129.72 in our General account and $2,984.44 in the Boogie account.  These figures reflect the $2,000 seed money that was repaid to the General account from the Boogie account.              

 

 FUN MONDAY TICKETS FOR FALL SOS

Donna asked for a volunteer to sell these.  The club will receive $100 from the ACSC if we sell all 100 tickets ($10 each).  In addition, the club that sells the winning ticket will receive additional compensation.     

 

 2006 CHRISTMAS PARTY

In the absence of a party chairperson, no decision had yet been made regarding this year’s Christmas party.  June informed those present that the Club lost approximately $3,000 last year and that members may have to pay $20-25/person unless we can come up with an alternative solution.  Mike Kuhn was reluctant to make a decision without contacting all the members to give them an opportunity to state their preferences about where to have the party and how much they would be willing to pay, etc.  Marie and Ginny Marsh volunteered to poll the members.  Pat Clark noted that if we had it at Marie’s, we could have it catered and probably still keep it below the $20-$25 cost.  After much discussion, the general consensus was that, given the late date and the high cost of having it at a hotel as we did last year, we have limited viable options.   Dave Mitchell moved that we have the party at Dance Dimensions.  Motion carried.  Marie will provide some of the decorations and gave us a choice of dates.  Johnnie Vann moved that we have it on Saturday, December 9.  Motion carried.  Pat volunteered the services of George Brown to deejay (George is from Asheville and is a member of our club).  Dave Mitchell also suggested Smokey Bill.  Assuming that whomever we select not charge the club for their services, Wordna Agee suggested that in return they not have to buy a ticket to the party.  Marie also suggested that we have a dance exhibition at the party.  Bill Vann made a motion that Pat Clark chair the event.  Members were encouraged to contact Pat with ideas and offers to help.  (Cell 659-0182) (Home 694-4487).  

  

SUNDAY NIGHTS AT HOLIDAY INN

June stated that we have not been having sufficient attendance to sell 50/50 tickets and that this is how we raise money to pay the deejay.  This opened the door for discussion about smokers encroaching on the area designated for our club members, and which is also designated as a non-smoking area.  Recently, for example, Tom Marsh approached a lady (a nonmember) who was in this designated area and who was smoking.  She was unwilling to move or extinguish her cigarette.  Tom enlisted the help of the bartender, who in turn called for assistance by the beverage manager, but to no avail.  Donna noted that the Holiday Inn is under new management and several attempts to contact him have proven unsuccessful.  Johnnie Vann brought up the point that our club is helping to pay for the deejay and that should entitle us to some privileges.  Dave Mitchell requested that Donna meet with the management to resolve our issues.  Tom Marsh volunteered to accompany her.  At this point, Pat Clark suggested that we consider meeting on a night other than Sunday because of the conflict with church functions, but no action was taken at this time.         
 

FUNDRAISERS AND SHAG MERCHANDISE

Regarding the book, Shag, The Legendary Dance of the South, by Bo Bryan:   June encouraged members present to autograph the book.  She will sell raffle tickets (priced the same as 50/50) until we have at least enough money to pay for the cost of the book ($60).  Signed tickets will be held until the time of the drawing (date to be determined, based on the deadline date from the ACSC). 

 

Regarding Shagging in the Carolinas, by ‘Fessa John Hook:  There is a minimum order of 100 books.  Cost to members is $20, with the club keeping half.  Dave Mitchell suggested including a book with the price of the ticket for the Christmas party; a decision will be made later.     

 

Regarding the Shag Throw, stitched with our club name:  Minimum order is 25.  John Jenkins felt that our club should own one for display at parties and at the Boogie; Dave Mitchell said he’d buy one for the club.  Cost is $39.    This item is NOT a fundraiser.

Dave Mitchell brought samples of calendars that he has proposed as a fundraiser.  This will feature photos of our very own members to be enjoyed throughout the year and will also provide reminders of upcoming shag events.  To be discussed further.

With no further business, meeting was adjourned.  Dinner and dancing followed.
