Minutes of Called Board Meeting

December 18, 2006

Location:  Workplace of Janice Davis, IBEW, 1530 Hutchinson Avenue, Knoxville

Board Members Present:  President Chuck Kryder, Vice President Dave Mitchell, Secretary Marcia Lawson, Treasurer Janice Davis, Party Chair Pat Clark

Chuck called the meeting to order at 6:05 p.m. 

PURPOSE OF THIS SPECIAL CALLED MEETING: 

TO FINALIZE PLANS FOR THE RE-UP PARTY ON JANUARY 6, 2007

PARTY LOCATION – DANCE DIMENSIONS

Pat Clark has talked with Marie and reports that the facility should be available by 3 p.m. for us to set up.  In addition, Pat will touch base with Marie again to confirm that it will be acceptable for us to move the existing furniture to allow for a better flow of traffic, with the understanding, of course, that the Club members will return the furniture to its original configuration before we leave. 

Dave and Janice will borrow tables and chairs from the IBEW union hall.  Dave will get the Club banner from the Holiday Inn.  Marcia will bring the 50/50 banner and the “Welcome Bear” that is used at the Boogie.

TIME

6:30 to 11:30 p.m.

MENU

Several options were considered:  chili supper, cookout, pot luck, etc.  After much discussion, it was decided to have three or four people prepare chili and ask the rest of the members to bring a complimentary dish or a dessert.  Marcia and Janice each volunteered to make a pot.  It was suggested that perhaps Carolyn Craft and Sandra Barker could do likewise; Marcia is to call them.

BEVERAGES

The Club will provide bottled water, soft drinks, beer, and wine.

THEME

Members present offered numerous ideas.  We felt it was important to come up with a theme that generated excitement and a sense of commitment as we start a new year.    Chuck will make the final decision and get a written notice out as soon as possible. 

MUSIC

Chuck will either DJ or ask someone else to.

OPPORTUNITIES FOR MEMBERS

We have many events upcoming in the near future.  Dave suggested that we provide members the opportunity to do “one-stop shopping” at the Re-up party:

Chuck will be in charge of membership applications (he is in hopes that members will have them completed when they arrive).  He will ask Bill Vann to be responsible for the Boogie ticket sales.  Marcia will have a hand-out available to allow members to state their preferences about possible quarterly field trips.   June will sell tickets for the shag book.  We will also have information available about other upcoming clubs’ parties.  

MISCELLANEOUS

Marcia will get the film developed from the Christmas party so that we can have a display of those pictures.  In addition, she will bring the guest book; several people did not get the opportunity to sign it.  Marcia will sell 50/50 tickets at the party and perhaps bring a door prize. 

For future consideration, Dave suggested that when a new member joins the Club, we may want to offer him/her a discounted ticket package to include a Boogie ticket, an SOS ticket, and a Fun Monday ticket.  Also for consideration for 2007, regarding the Fun Monday tickets, perhaps the “Club” may want to buy one or more tickets.   Not only would we be supporting the Association; but if we win, the Club would get the money.
